Frequently asked questions
Quick answers to the most common questions about Client Portal, from licensing and setup to integrations and troubleshooting.
Licensing and billing
What's the difference between Single-site and Multi-site licenses?
Single-site: Create unlimited portals and clients on one domain (e.g., youragency.com/client1, youragency.com/client2). Perfect if you're using Client Portal on your own website.
Multi-site: Install on unlimited domains (e.g., client1.com, client2.com, client3.com). Ideal for agencies delivering portals on client websites or managing multiple properties.
Both licenses include unlimited portals and clients.
How do I activate, deactivate, or transfer my license?
Deactivate from your old site by going to Portals > Settings > License in WordPress, or log into your account at client-portal.io/login. Then reactivate on your new domain.
Single-site licenses support both local development and production environments simultaneously.
What happens to my license after it expires?
Client Portal will stop working once your license expires. You'll need to renew your subscription to regain access, though your existing data remains intact.
Lifetime license options ($597+) provide access, updates, and support indefinitely.
I didn't receive my license key. What should I do?
Check your spam folder and add [email protected] to your contacts. You can also log into your account at client-portal.io/login to view your license or request a resend. Contact support if you still can't find it.
What's your refund policy?
We offer a 100% No-Risk Double Guarantee. If you don't like the plugin within the first 30 days, we'll refund 100% of your money, no questions asked. This covers your first payment only—it doesn't apply to renewals. We send renewal reminder emails, so cancel before the renewal if you don't want to continue.
Setup and getting started
How do I install Client Portal and create my first portal?
Install the plugin from your WordPress dashboard (Plugins > Add New) or upload the .zip file. Navigate to Portals > Create Template to choose a starter layout, then customize with drag-and-drop modules.
Enable the Block Editor in Portals > Settings if you prefer WordPress blocks over classic modules.
Watch the setup video at client-portal.io under "Setting up your first portal" for a visual walkthrough.

Can I use Client Portal on non-WordPress sites like Squarespace?
Client Portal is WordPress-only. A workaround is to set up WordPress on a subdomain (e.g., portal.yourdomain.com) and run Client Portal there, then link to it from your main site. See Using Client Portal without WordPress on your main site.
Notifications and emails
Why aren't notifications or digests sending?
Check your notification settings under Portals > Settings > Notifications to ensure the relevant toggles are enabled. Email delivery issues are often caused by WordPress mail configuration—try an SMTP plugin like WP Mail SMTP to improve reliability.

Users, login, and security
How do I add clients to my portals?
Create WordPress users with the "CP Client" role, then assign them to specific portals. You can also enable self-registration by linking a registration page to your portal template.

Clients can't log in or reset their passwords. What's wrong?
Verify that ReCAPTCHA is configured correctly if enabled. Check that login page slugs haven't been changed or conflicted with other plugins. Clear your cache and test in an incognito window.

What's the difference between private files and regular files?
Both file types are login-protected and hidden from non-logged-in users. The difference is in the level of security:
Regular files: Stored in WordPress media library. Clients must log in to see them in the portal, but files are technically accessible via direct URL if someone obtains it. Perfect for most client work.
Private files: Extra URL protection. Even with the direct URL, files cannot be accessed without proper login and portal assignment. Best for highly confidential documents. Cannot be used with images (jpg, png, gif) or audio (mp3, ogg).

Integrations and customization
Can I embed Google Calendar, Google Sheets, or other tools?
Yes. Use the URL module or HTML module to embed iframes for Google Calendar, Google Sheets, Vimeo, Trello, and most embed-friendly platforms. For the full steps on calendars, see Embed a calendar in Client Portal. Add the embed code directly into content pages or modules.

Does Client Portal work with WordPress Multisite or all themes?
Client Portal works with WordPress Multisite—install it per-site, not network-wide. It's compatible with most themes, but some heavily customized or page-builder themes may require CSS adjustments.
Exclude Client Portal pages from caching plugins to avoid display issues.
Can I customize colors, fonts, and mobile layout?
Yes. Go to Portals > Settings > Branding to adjust colors, fonts, and logos. Add custom CSS for advanced styling. Client Portal is mobile-responsive by default.
